1. Acceptance of terms
By accessing or using ClosingGuard at closingguard.net ("the Platform"), you agree to be bound by these Terms of Use ("Terms"). If you do not agree to these Terms, do not use the Platform. These Terms apply to all users including loan signing agents, signing companies, title companies, lenders, and any other party accessing the Platform.
2. Eligibility
You must be at least 18 years of age to use ClosingGuard. By using the Platform you represent and warrant that you are 18 years of age or older and that you have the legal authority to enter into these Terms.
3. Description of service
ClosingGuard is a professional closing packet verification platform. The Platform allows users to upload closing documents for pre-submission review and verification of critical fields including notary stamps, signatures, dates, initials, and other required elements. ClosingGuard produces a Verification Report with a unique Verification ID for each completed verification.
4. Verification aid — not a legal guarantee
THIS IS CRITICAL. Please read carefully:
- ClosingGuard is a verification aid only. It is not a substitute for professional judgment.
- The signing agent and submitting party retain full responsibility for the accuracy and completeness of every closing packet.
- ClosingGuard does not constitute a legal guarantee of document compliance, accuracy, or completeness.
- Verification results are based on the clarity and completeness of documents submitted. Poor image quality, low lighting, incomplete uploads, or inaccurate user-entered information may affect results.
- Fields that cannot be confirmed with reasonable certainty are marked as Review — never falsely marked as Pass.
- ClosingGuard shall not be held liable for any returned packets, rejected documents, compliance failures, financial losses, or damages arising from reliance on a Verification Report.
5. Submission standards
To obtain the most accurate verification results, users must adhere to the following submission standards:
- Upload clear, legible documents. Poor image quality or low lighting may limit verification accuracy.
- Upload all pages of the closing packet. ClosingGuard verifies only what is submitted — missing pages will not be flagged as missing.
- Enter accurate signer name, notary name, state, and county. Inaccurate entries will produce inaccurate results.
- Submit one closing packet per verification. Mixing documents from multiple closings will produce unreliable results.
- Submit original documents only. Heavily edited or digitally altered files may produce uncertain results.
6. User responsibilities
By using ClosingGuard you agree to:
- Use the Platform only for lawful purposes and in accordance with these Terms.
- Not upload documents containing information that you do not have authorization to submit.
- Not attempt to reverse engineer, copy, reproduce, or replicate any part of the Platform or its verification methodology.
- Not use the Platform to transmit malicious code, viruses, or harmful content.
- Not share your account credentials or allow unauthorized parties to access your account.
- Not misrepresent the results of a ClosingGuard Verification Report to any third party.
7. Verification ID and report authenticity
Each ClosingGuard Verification Report is assigned a unique Verification ID. This ID can be used to confirm the authenticity of a report at closingguard.net. ClosingGuard Verification Reports may not be altered, falsified, or misrepresented in any way. Misuse of a Verification Report or Verification ID may result in immediate account termination and legal action.
8. Data and privacy
ClosingGuard takes the privacy of your data seriously. Please review our Privacy Policy for full details on how we collect, use, and protect your information. Key points:
- Uploaded documents are transmitted securely via encrypted connection (https) for verification purposes only.
- ClosingGuard retains verification metadata for 15 days following verification.
- ClosingGuard does not retain uploaded documents after verification is complete.
- ClosingGuard does not sell your data to third parties.
9. Intellectual property
All content, design, technology, methodology, branding, and materials on ClosingGuard — including but not limited to the verification engine, checklist logic, report format, Verification ID system, and ClosingGuard name and logo — are the exclusive intellectual property of ClosingGuard. Unauthorized use, reproduction, or distribution of any part of the Platform is strictly prohibited.
10. Pricing and payment
ClosingGuard offers a Free tier providing 3 free verifications with no payment required. Paid plans are available as described on the pricing page at closingguard.net. Pricing is subject to change with reasonable notice to subscribers. All payments are non-refundable unless otherwise required by law.
11. Disclaimer of warranties
THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. CLOSINGGUARD DOES NOT WARRANT THAT THE PLATFORM WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY ACCURATE IN ALL CIRCUMSTANCES.
12. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, CLOSINGGUARD SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF OR INABILITY TO USE THE PLATFORM, INCLUDING BUT NOT LIMITED TO LOST PROFITS, LOST DATA, RETURNED PACKETS, REJECTED DOCUMENTS, OR DAMAGED PROFESSIONAL RELATIONSHIPS, EVEN IF CLOSINGGUARD HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
13. Indemnification
You agree to indemnify, defend, and hold harmless ClosingGuard and its owners, officers, employees, and agents from and against any claims, liabilities, damages, losses, and expenses, including reasonable legal fees, arising out of or in any way connected with your use of the Platform, your violation of these Terms, or your submission of inaccurate or unauthorized documents.
14. Governing law
These Terms shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts located in Texas.
15. Changes to these terms
ClosingGuard reserves the right to modify these Terms at any time. Changes will be posted at closingguard.net with an updated effective date. Continued use of the Platform after changes are posted constitutes your acceptance of the revised Terms.

ClosingGuard ("we," "us," or "our") operates the closing packet verification platform at closingguard.net ("the Platform"). This Privacy Policy explains how we collect, use, protect, and handle information when you use ClosingGuard. By using the Platform you agree to the practices described in this Privacy Policy.
2. Information we collect
When you use ClosingGuard we may collect the following types of information:
Information you provide directly:
- Name and email address when creating an account or contacting us
- Signer name, notary name, state, and county entered into the verification tool
- Closing type selected for verification
Documents you upload:
- Closing packet documents including PDFs and images uploaded for verification purposes
- These documents may contain sensitive personal information including names, dates of birth, Social Security numbers, financial information, and property details
Verification metadata:
- Date and time of verification
- Closing type, signer name as entered, verification score, and unique Verification ID
Technical information:
- Browser type, device type, IP address, and pages visited on the Platform
3. How we use your information
- Provide, operate, and improve the ClosingGuard verification service
- Process and complete document verifications
- Generate Verification Reports and Verification IDs
- Respond to your inquiries and provide customer support
- Ensure the security and integrity of the Platform
- Comply with legal obligations
4. How we handle uploaded documents
- Uploaded documents are transmitted to our verification service via secure, encrypted connection (https/TLS).
- Documents are processed for the sole purpose of completing your verification request.
- ClosingGuard does not permanently store uploaded documents after verification is complete.
- Uploaded documents are not used to train AI models.
- Uploaded documents are not shared with, sold to, or disclosed to any third party except as required by law.
5. Data retention
- Uploaded documents: Not retained after verification is complete.
- Verification metadata: Retained for 15 days following verification, then permanently deleted.
- Account information: Retained for the duration of your account and for a reasonable period following account closure.
- Contact inquiries: Retained for as long as necessary to respond to and resolve your inquiry.
6. How we protect your information
- SSL/TLS encryption for all data transmitted to and from the Platform
- Secure hosting infrastructure
- Limited access to sensitive data on a need-to-know basis
- Regular security reviews
While we implement these measures, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your information to the best of our ability.
7. Third party services
- Anthropic API: Powers the document verification engine. Documents are transmitted to Anthropic for processing. Anthropic does not retain API-submitted data for model training.
- Hostinger: Provides web hosting services for the Platform.
8. Sensitive personal information
By submitting documents through the Platform you acknowledge that:
- You have the legal authority to submit the documents and the information contained within them.
- You have obtained any necessary consents from the individuals whose information appears in the documents.
- You understand how ClosingGuard handles uploaded documents as described in Section 4 of this Privacy Policy.
9. Children's privacy
ClosingGuard is intended for use by professionals aged 18 and older. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have collected information from a person under 18 we will take steps to delete that information promptly.
10. Your rights
- Request access to the personal information we hold about you
- Request correction of inaccurate personal information
- Request deletion of your personal information, subject to our legal obligations
- Withdraw consent where processing is based on consent

11. Data sharing and disclosure
